We’ve recently redesigned the Users section to offer a more flexible and intuitive experience for managing access across your Advanced Web Ranking account.
Whether you're working with internal teams, collaborators, or clients, the updated system helps you control who can access what in your account by customizing permissions exactly how you need.

Introducing the “Custom” Role
Alongside the existing user roles - Owner, Administrator, Team Member, and Customer - a new, more flexible role is now available: Custom. This role is perfect when you want to give a user more access than a Customer or Team Member typically has, but without granting them full Admin rights. You can fine-tune what each user can do using a clean and intuitive permissions wizard.

This added flexibility means you can now support a wider variety of collaboration scenarios, all while keeping your account secure.
A Refresher on User Roles
Here’s an overview of all roles and what each user type can do:
The Owner of the AWR account, usually the person who opened the subscription, is the superuser. This role has full account access and can’t be customized.
Administrators have almost the same level of access as the Owner. They can work with all projects, manage billing and integrations, edit whitelabel settings, invite and manage users, change roles, and even transfer ownership of the account when needed.
Team Members' access is limited to the projects they’re assigned to. They can edit project settings, such as keywords or search engines, and generate quick performance exports in any of the available formats (PDF, XLSX, CSV). However, they can’t create or delete projects.
Customers are strictly read-only users. They can view assigned projects, filter ranking data, and download performance reports, but they can’t make any changes.
With the Custom role, you decide exactly what someone can do - whether it's generating reports, creating projects, managing connections, or inviting other users. It’s a great option for coworkers or collaborators with specific responsibilities.
How to Set Custom Permissions for a User
From the Profile > Users section, simply find the person in the user list, hover over their name, and click Edit. Alternatively, when selecting the user using the associated checkbox, options to edit permissions and change their role (e.g., from customer to team member) will appear.

After clicking the Edit button, you’ll be able to toggle permissions on or off in the User Permissions wizard and save your changes.

Granular Permission Options
With the editable permissions for Admins, Team Members, and Customers roles, you can control exactly what each user is allowed to do in your account. User permissions are organized into four main areas:
1. Project management
Create projects – Allow the user to create new projects in the account.
Delete projects – Allow the user to delete existing projects.
Edit project settings – Allow the user to modify project settings, such as project name, search engines, or keywords.
2. Features access
Generate reports – Allow the user to generate and download reports in available formats (PDF, XLSX, CSV).
Manage Whitelabel settings – Allow the user to customize whitelabel options, including platform appearance, subdomain, and email branding.
Access & manage account connections – Allow the user to connect or manage third-party integrations (Google Analytics, Google Search Console, Looker Studio).
3. Billing & account resources
Access resources – Allow the user to view keyword allocation, project consumption, and account usage data.
Access & manage Billing details – Allow the user to view invoices, update payment details, or manage subscription settings.
4. Team permissions
Invite new users – Allow the user to invite clients or team members to the account.
Delete users – Allow the user to remove other users from the account.
Edit roles and permissions – Allow the user to change other users' roles and permissions (for users with equal or lower roles).
Change account owner – Allow the user to transfer account ownership to another user.
Smarter Filtering and Sorting
As your team grows, keeping track of user access and activity becomes increasingly important. That’s why the Users section now includes smarter filtering and sorting options, making it easier to find and manage the users you’re looking for.
You can now filter users by several criteria, including their role (Owner, Admin, Team Member, Customer, or Custom), their permissions (such as creating projects, managing billing, or inviting new users), and their status—whether they’ve accepted their invite and set up their account or are still pending.

For added clarity, each user’s status is visually marked. A small yellow dot indicates that a user has completed their setup, while a green dot means they’re currently online. If the setup hasn’t been completed, the user will appear with a clear “Pending” label next to their email address.

You can also filter by assigned projects, which is especially useful when managing clients or teams with restricted access to your AWR account.

To help you keep an eye on account activity, the Users table now includes two sortable columns: Date added and Last access. These give you a quick overview of when users were onboarded and when they last interacted with the platform. You can choose to show or hide these columns using the settings dropdown, so your view remains clean and relevant to your needs.

Bulk Actions for Faster Management
In addition, the redesigned Users table allows you to perform bulk actions. You can select multiple users and change their role, delete them, or resend invite emails in one go. However, if you need to fine-tune access by setting up custom permissions, this still needs to be done individually at the user level.

These improvements offer greater control, flexibility, and clarity, helping you manage your account more efficiently as your team evolves.
